AutoPresence is a trading name of Dynamic Business Software Ltd, a company registered in England and Wales (Company No. 6322946).

1. Introduction

AutoPresence (“we”, “our”, “us”) operates https://autopresence.io. We are committed to protecting your privacy and handling your personal data responsibly. This Privacy Policy explains how we collect, use, store, and protect your information in accordance with the UK GDPR and the Data Protection Act 2018.

Dynamic Business Software Ltd (trading as AutoPresence) is the data controller for the purposes of UK GDPR and the Data Protection Act 2018.

2. Automated Processing & AI

AutoPresence uses automated systems and artificial intelligence to analyse content, generate suggestions, and automate posting or content recommendations.

These systems operate based on user-provided inputs and configured preferences. AI-generated outputs may be incomplete, inaccurate, or subject to limitations and should not be relied upon as professional advice.

3. Information We Collect

  • Account Information: name, email address, subscription status, and account identifiers.
  • LinkedIn Data: LinkedIn access tokens, profile metadata, and posting preferences (only with your consent).
  • Content Data: generated posts, saved drafts, reusable templates, content preferences, and posting schedules.
  • Authentication Data: login sessions, security tokens, and OAuth credentials.
  • Usage & Technical Data: feature usage, logs, timestamps, IP address, browser and device information.
  • Acquisition Data: allowlisted campaign source, medium, campaign, content and term values supplied in the page URL; unrelated URL parameters are discarded.
  • Billing Data: subscription identifiers and transaction references (payment details are handled by our payment provider and are not stored by us).
  • Service Feedback: an optional score and comments you choose to provide after using the service.

4. How We Use Your Information

  • To provide and operate the AutoPresence service.
  • To schedule and publish content on your behalf.
  • To manage subscriptions, billing, and account access.
  • To communicate important service, billing, or security updates.
  • To improve platform performance, reliability, and security.

5. Sharing & Disclosure

We do not sell your personal data.

Your data may be shared only with trusted third parties where required to deliver our service:

  • Infrastructure providers (Microsoft Azure).
  • Payment and tax provider (Stripe Managed Payments and Link).
  • External platforms (LinkedIn APIs, with your explicit consent).
  • Legal or regulatory authorities where required by law.

6. Data Retention

  • Account data: retained while your account is active.
  • LinkedIn tokens: retained only while required to provide the service.
  • Subscription & billing records: retained as required for accounting and legal obligations.
  • Product events: retained for up to 400 days to understand activation and service use.
  • Campaign attribution: retained to measure subscription acquisition and unlinked from the customer when an eligible deletion request is fulfilled.
  • Service feedback: retained while your account is active and included in account export or deletion processing.
  • Operational records: completed job, webhook, notification, and expired sign-in-token records are normally removed after 90 days.

7. Data Deletion

You may request deletion of your personal data at any time. Upon request, we will permanently delete your personal information within 30 days, except where retention is required for legal or accounting purposes.

Signed-in customers can also download a portable copy of their profile and post data, or submit an account deletion request, from the Account page.

8. Security

We implement appropriate technical and organisational measures to protect your data, including:

  • Encryption in transit (TLS) and at rest.
  • Role-based access controls.
  • Secure credential storage and token handling.
  • Regular monitoring and security updates.

9. Cookies & Tracking Technologies

  • Essential cookies: required for authentication and session management.
  • Analytics cookies: loaded only after you choose to allow them, to understand anonymous public-page usage.
  • Advertising measurement cookies: loaded only after you choose to allow analytics, to attribute subscription conversions to Google Ads campaigns and measure campaign effectiveness.

You can accept, decline, or revisit analytics choices using the Analytics preferences control in the website footer. You can also disable cookies through your browser settings. Disabling essential cookies may impact site functionality.

AutoPresence records a limited set of product events, such as viewing pricing, completing onboarding, generating candidates, scheduling a post, or cancelling a subscription. Anonymous events use a one-way session hash. Event properties are allowlisted and do not include post contents, access tokens, passwords, payment details, email addresses, or IP addresses. Generation feedback records a rating and reason code, not the candidate content. Private service satisfaction feedback records the score and any comments you deliberately submit; it is not treated as permission to publish a testimonial. Campaign attribution uses an anonymous session hash until a subscription is completed and does not retain unrelated URL parameters.

10. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data.
  • Request correction or deletion.
  • Restrict or object to processing.
  • Request data portability.
  • Withdraw consent at any time.

11. Children’s Privacy

AutoPresence is not intended for individuals under the age of 13. We do not knowingly collect personal data from children.

We may update this Privacy Policy from time to time. Any changes will be reflected by the “Last updated” date above. Significant changes may be communicated via email or within the platform.
